WhatsApp Business not syncing between phone and computer
If you open WhatsApp Business on your phone and see a conversation, and on your computer (WhatsApp Web or the desktop app) that same conversation is not there, is incomplete, or has been frozen for hours, nothing serious broke. Most likely the computer session got unlinked, the phone doesn't have a stable connection, or you're looking at two different things: the WhatsApp Business app on the phone and a WhatsApp Web session that is no longer active. In most cases you can fix it yourself in a few minutes, without support and without touching anything technical. What can't be promised is an exact time: it depends on whether it's a dropped session, a network problem, or something on Meta's side, and that varies case by case.
What exactly "not syncing" means
WhatsApp doesn't store your messages on a central server that all your devices connect to equally. The phone is the main device: it's the one with the active account and the one that acts as the source of truth. WhatsApp Web and the desktop app are linked devices: they work as a window to the phone. If the phone is off, without data, with the battery in extreme saving mode, or without signal, that window keeps showing the last thing it managed to see. That's why "not syncing" almost never means messages were lost: it means the computer stopped receiving what the phone has.
There's a second very common confusion: looking at two different accounts. If on your phone you have the WhatsApp Business app and on your computer you opened WhatsApp Web with your personal number, or the other way around, you'll see different conversations and you'll think there's a syncing problem when in reality they're two separate accounts. Before touching anything, confirm that the number shown at the top on the computer is the same as the one on the phone.
The exact behavior of device linking, the limits on linked devices, and the rules of the official API are defined by Meta and change over time. For the fine detail, the source is Meta's official documentation on WhatsApp Business, not this article.
Why it happens: the most frequent causes
The causes fall into three families: the computer session dropped, the phone can't transmit, or there's something in between (network, permissions, account) that cuts the bridge. Almost all the cases people report as "not syncing" fall into one of these.
- The WhatsApp Web or desktop app session closed on its own. This happens when the phone has been offline for a long time, when the session was logged out from the phone without you noticing, or when the computer's operating system updated and restarted the app.
- The phone doesn't have a stable connection. Airplane mode on, mobile data used up, wifi with a captive portal that never finished connecting, or the phone stored in a drawer with the battery in aggressive saving mode. The phone is the one that pushes the messages: if it has no network, the computer receives nothing new.
- The phone ran out of battery or turned off. While the phone is off, the computer can show the last thing it saw, but it doesn't update. Some systems still show the messages for a while and then freeze, and that's confusing.
- You're looking at two different accounts. WhatsApp Business on the phone and WhatsApp Web opened with the personal number (or with another company account) don't share anything. This is the most frequent case in businesses that have more than one number.
- The computer has an outdated desktop app. An old version of the app may not reconnect well after a drop. Updating it usually resolves the symptom.
- The browser blocks or deletes the site's data. Incognito mode, aggressive privacy extensions, or automatic clearing of cookies and storage when the browser closes: all of that drops the session every time you open it.
- There are more linked devices than you think. If someone linked the account on an old computer or on a device they no longer use, a reached limit may be preventing a new one from being linked.
- The problem isn't syncing but the official API. If the number is connected to Meta's WhatsApp API (for example, through a customer service platform), the behavior is different from the app: the messages live in the system that uses the API, not on the phone. In that case, looking for the conversation on WhatsApp Web is looking in the wrong place.
How to tell which case you're in before touching anything
Before unlinking and relinking (which is the step most people take first and often wasn't necessary), do this thirty-second check. It will tell you whether the problem is with the session, the network, or the account.
- 1Open WhatsApp Business on your phone and send a test message to one of your contacts. If the message shows a single checkmark and never reaches two, the problem is your phone's connection, not the computer.
- 2On your phone, go to the linked devices settings. There you'll see the list of connected computers and browsers. If the computer where you don't see the messages doesn't appear in that list, the session is closed: that's the whole problem.
- 3On the computer, look at the name and number shown at the top left. Compare it with the number on your phone. If they don't match, they're two different accounts and nothing is broken.
- 4On your phone, check whether battery saver mode is active and whether WhatsApp Business has permission to run in the background. Many phones suspend the app when the screen is off, and that cuts the transmission.
- 5On the computer, try opening WhatsApp Web in an incognito window. If it works there, the problem is in your regular browser (cache, cookies, or an extension), not in your account.
How to fix it, step by step
The steps go from the simplest to the most invasive. Stop as soon as it's resolved: you don't need to do everything if the first step already got it working again. If after all the steps it's still the same, then you do need to escalate (I'll tell you when further down).
- 1Confirm that your phone has internet. Open a web page or send a message to another contact. If your phone doesn't have a stable connection, nothing else will work.
- 2On your phone, go to the linked devices settings and check whether the computer appears. If it doesn't appear, link it again from scratch: on the computer, open WhatsApp Web, scan the QR code with your phone, and wait for the conversations to load.
- 3If the computer does appear in the list but still doesn't update, log out that computer from your phone and link it again. It's the equivalent of restarting the bridge.
- 4Close and reopen the WhatsApp app on the computer. If you use the browser, close the tab and open it again. If you use the desktop app, close it from the system menu (not just the window) and open it again.
- 5Update the desktop app or the browser to the latest available version. Old versions often fail to reconnect after an interruption.
- 6On your phone, remove WhatsApp Business from battery saver and give it permission for background activity. On Android it's usually in Settings → Battery → Battery Saver; on iPhone, in Settings → General → Background App Refresh.
- 7Restart your phone. It sounds obvious, but it frees up the connection and forces the app to reconnect to the servers.
- 8Try another network. If your phone is on wifi and the computer is on another network, or if there's a VPN in between, the connection between devices can fail. Try with your phone on mobile data and the computer on the same wifi, without a VPN.
- 9If none of this worked, check whether the number is on Meta's official WhatsApp API. In that case, the conversations don't sync with WhatsApp Web because they don't live there: they're seen on the platform you use to handle them. Confirm it with whoever manages your number.
There's no guaranteed time for this to be resolved. It can be a matter of seconds if it was a dropped session, or it may need your number's provider to step in if the problem is on the API side. If after the steps the behavior is still the same, or if the same problem appears on several devices at once, it's a sign that you need to escalate to Meta support or your provider.
How to keep it from happening again
Most of these disconnections happen again and again for the same three reasons: the phone loses its network connection, the app is suspended in the background, or someone logs out without telling anyone. A few habits can greatly reduce how often this happens.
- Keep the phone connected to a stable network and charged during the hours when you're attending customers. If the phone turns off, the computer freezes.
- Exclude WhatsApp Business from battery saving and give it background permission. This is the setting that prevents the most disconnections.
- Use the desktop app instead of the browser if you're going to be attending all day. The app handles reconnections better than an open tab.
- Don't use incognito mode or automatic cookie cleaning for the browser where you have WhatsApp Web: every logout forces you to scan the QR code again.
- Check the list of linked devices from time to time and close the ones you no longer use. This helps you avoid hitting the limit and prevents someone from seeing conversations from a computer that is no longer yours.
- If the business attends customers from several devices or several people, define who owns the main phone. A phone that goes home with an employee is a phone that gets turned off at any time.
When the real problem is something else and this error is just the symptom
There are situations where "not syncing" is just the tip of the iceberg and fixing the linking won't solve anything, because the source is somewhere else. It's worth telling them apart so you don't waste time.
- The number is connected to Meta's official WhatsApp API. When a number is migrated to the API, it stops behaving like the phone app. Messages are managed from the platform connected to the API and don't appear in WhatsApp Web. If you see that the phone barely receives messages anymore and everything goes through another system, the problem isn't synchronization.
- You changed phones or changed numbers. When you migrate to a new phone, linked sessions drop and have to be redone. If you also changed numbers, the conversations from the old number won't appear on the new one.
- The API access token expired. If you're using the official API and the token expired or was revoked, messages stop coming in and going out, and from the outside it looks like a synchronization problem. The typical symptom is that nothing new comes in, neither on the phone nor in the system.
- The webhook stopped receiving events. If you have an integration that receives messages via webhook, and that integration stopped responding or changed its URL, you'll see messages on one side and not the other. It's not a WhatsApp problem: it's the integration.
- There are two numbers with the same business name. If the business uses two lines (for example, one for sales and one for support) and it's not clear which is which, the "not syncing" confusion is actually account confusion.
- The phone app is on a very old version. Outdated versions of WhatsApp Business can have linking problems that are solved only by updating.
If the problem is that you attend from several places at once
Many businesses arrive at this article not because WhatsApp is broken, but because they need several people to attend the same number without depending on a phone that runs out of battery. There the problem is no longer synchronization between devices: it's how you organize customer service. One option is to use Meta's official WhatsApp API with a customer service platform; Wando, for example, uses that API and offers a shared inbox where the AI suggests replies and each person on the team approves them with one click, plus templates, campaigns, contacts with tags, and statistics. It's not the solution for every case: if you attend alone and from a phone, regular WhatsApp Business is enough. If the number is already on the official API and you want to see what it involves, you can check the current plans at wando.online/pricing.
What NOT to do
- Don't unlink all devices at once if you don't need to. Each unlinking forces you to scan the QR code again on every computer.
- Don't delete the app from your phone to "clean up." You lose the phone's local history and it doesn't fix anything that a restart wouldn't fix.
- Don't change your number to test. A number change isn't easily reversed and drags the problem somewhere else.
- Don't assume messages were lost. In the vast majority of cases the messages are on the phone and only the computer stopped seeing them.
- Don't reinstall the computer's operating system over this. It's a session problem, not a system problem.
Frequently asked questions
Are my messages lost if WhatsApp Business is not syncing?+
Almost never. The phone is still the main device and stores the conversations. What happens is that the computer stopped receiving new messages because the session dropped or the phone lost connection. Before assuming they were lost, check your phone: if they are there, nothing was lost.
Why do I see a conversation on my phone but not on my computer?+
It could be that the computer session is closed (it does not appear in the phone's linked devices list), that the phone was offline when that message arrived, or that you are looking at two different accounts. First confirm that the number shown at the top on the computer is the same as the one on your phone.
How long does it take to sync again?+
There is no guaranteed timeframe. If it was a dropped session, relinking may take seconds or a few minutes, depending on how many conversations it has to load. If the problem is on the side of Meta's official API or your provider, the time depends on them and varies case by case.
What do I do if the phone shows as linked but the computer does not update?+
Log out of that computer from your phone and link it again by scanning the QR code. Then fully close and reopen the desktop app (or the tab). If it is still the same, try an incognito window: if it works there, the problem is in the browser and not in your account.
Why does the WhatsApp Web session keep dropping?+
The most common causes are incognito mode, automatic cookie clearing when closing the browser, aggressive privacy extensions, or the phone losing connection due to battery saving. Remove WhatsApp Business from battery saving and use the desktop app if you attend all day.
Does this have to do with the official WhatsApp API?+
It may. If your number is connected to Meta's official API, conversations do not show in WhatsApp Web because they do not live on the phone: they are managed from the platform connected to the API. If you see that the phone barely receives messages anymore and everything goes through another system, the problem is not syncing.
When should I escalate to support?+
When after logging out, relinking and restarting the phone the problem is still the same; when it happens on several devices at once; or when the number is on the official API and messages neither come in nor go out. At that point it is no longer a linking problem and you need to talk to Meta or your number's provider.
