WhatsApp template to remind a session of a plan in your beauty salon

4 min read

If you work in a beauty salon, you know that WhatsApp is an extension of your reception desk. And when someone doesn't show up without notice, you don't just lose the appointment: you lose money and you're left with a gap that's hard to fill at the last minute. A session reminder from a plan is the simplest way to reduce these no-shows, and here we give you a template you can copy and adapt.

Hi {{1}}, we remind you that you have your {{2}} session on {{3}} at {{4}}. If you need to reschedule, reply to this message or call us at {{5}}. We look forward to seeing you! 😊

What goes in each variable

  • {{1}}: client's name (e.g., Carla).
  • {{2}}: session type (e.g., laser hair removal, facial cleansing, massage).
  • {{3}}: appointment date (e.g., Tuesday, April 15).
  • {{4}}: appointment time (e.g., 17:30).
  • {{5}}: salon contact phone (e.g., 11 5555 5555).

How to use it in WhatsApp Business and in Wando

  1. 1Copy the message and replace the variables with each client's real data.
  2. 2In WhatsApp Business, use the template feature or simply send the message from the app, but be careful: to send it in bulk from the official API, Meta must approve the template (utility category) and the client must have given their consent.
  3. 3In Wando, you load the template into the panel and the AI uses it automatically when appropriate, always with your prior approval. This way you don't forget any reminders.

More formal variant: "Dear {{1}}, we remind you of your {{2}} session on {{3}} at {{4}}. If you have any issues, please contact us at {{5}}. Best regards."

Warmer variant: "Hey {{1}}! 👋 We're waiting for you on {{3}} at {{4}} for your {{2}} session. If you can't make it, let us know and we'll move it. Kisses 😘"

Remember that session reminders are transactional messages (utility category) in the WhatsApp API, so they don't carry a sales intent. If you want to take the opportunity to offer an extra product, that's already marketing and needs another template. In Wando, we handle the distinction automatically, so you only worry about providing good service.

Tip: send the reminder 24 hours before the appointment. If it's too early, they forget; if it's too late, they've already made other plans.

When to send this message and when NOT to send it

The ideal time to send the reminder is 24 hours before the appointment, as we already said. But there are situations where it's better not to send it or to change the approach.

Don't send it if the client has already confirmed attendance through another channel (for example, replied to a previous message or confirmed in person). Also don't send it if the appointment is the same day and less than 3 hours remain: at that point, the message can be annoying and there's no time to reschedule.

If the client has a history of no-shows, you can send the reminder 48 hours before, but with a firmer tone (without being aggressive). And be careful: if the plan is prepaid and the client has never missed, the reminder is a courtesy gesture, not a necessity. In that case, you can choose not to send it and save the message.

The simple rule: send the reminder only if there's something the client can do with that information (reschedule, confirm, prepare). If there's nothing to do, the message is noise.

What to reply to the client's three most likely responses

When the client receives the reminder, the most common responses are: confirm, reschedule, or cancel. Here is a template message for each one, with variables to customize.

If they confirm (typical response: 'Great, I'm on my way!'):

Great {{1}}! We'll see you on {{3}} at {{4}}. If anything comes up, let us know. See you! 😊

If they want to reschedule (typical response: 'Can I change the day?'):

Of course {{1}}! We have availability on {{6}} at {{7}} and on {{8}} at {{9}}. Which one works best for you?

If they cancel (typical response: 'I won't be able to make it'):

No problem {{1}}. Would you like me to book another appointment for you? I can offer you {{6}} at {{7}} or {{8}} at {{9}}. If not, let us know and we'll leave it for next month.

  • {{6}} and {{7}}: alternative date and time 1.
  • {{8}} and {{9}}: alternative date and time 2.

How to tell if the message worked

The most obvious indicator is the no-show rate: compare how many clients miss appointments in the months you use the reminder versus the months you didn't. If no-shows decrease, the message works.

But there are more immediate signals. In WhatsApp Business, check if clients reply to the message (even with an 'ok') or if they open the chat. A high open rate without replies may indicate that the message is read but doesn't prompt action, or that the client already knows she'll attend and doesn't need to respond.

In Wando, campaign statistics show you how many messages were delivered and how many were read. If the reminder is sent via the WhatsApp API, you can also see the delivery status (sent, delivered, read) in the panel.

Watch out for one thing: if the client doesn't open the message, it doesn't mean she didn't see it. Often they read it from the notification without opening the chat. What matters is the final result: if the appointment is kept, the message did its job.

What makes Meta reject a template like this and how to fix it

Meta reviews WhatsApp templates to avoid spam and misleading messages. The most common reasons for rejection for a reminder like this are:

Lack of consent: if the client didn't opt in to receive messages, Meta may reject the template or block the send. The solution is to ask for explicit consent when scheduling the appointment (for example, a message like 'Shall we send you WhatsApp reminders?').

Promotional content: if you mix the reminder with an offer or discount, Meta classifies it as marketing and the template needs another category (and another permission). Keep the message purely transactional: date, time, place, and nothing else.

Poorly defined variables: if the variables are not clear or are too long, Meta may reject it. Use simple variables ({{1}}, {{2}}, etc.) and define them well in the description.

If they reject you, fix the reason and resubmit it. Approval takes up to 48 hours. In Wando, templates are loaded and managed automatically, but final approval always depends on Meta.

A more formal variant and a more casual one, and when to use each

The formal variant we already provided works for clients who prefer a distant treatment or for more serious contexts (for example, medical treatments or older clients). Use it when you don't know the client well or when the salon has a formal communication protocol.

The casual variant is ideal for regular clients or when the relationship is one of trust. The emoji and relaxed tone create closeness, but be careful: don't overuse emojis if the salon is high-end.

The rule: if you don't know which tone to use, start with the formal one and see how the client responds. If she replies with confidence, switch to the casual one in the next message. If she replies dryly, stick with the formal.

You can also combine: a formal message with a casual closing (for example, 'Best regards, and see you Tuesday!'). This way you don't lose the warmth of the interaction.

Frequently asked questions

Can I use this template in WhatsApp Business without paying?+

Yes, you can copy the message and send it manually from WhatsApp Business. But if you want to automate sending with the official WhatsApp API (as Wando does), Meta must approve the template as a utility category and the client must have opted in to receive messages.

How often should I send the reminder?+

Ideally 24 hours before the appointment. That way the client has it fresh and can still reschedule if something comes up. In Wando, you can set up the AI to send it automatically, always with your approval.

What if the client doesn't respond to the reminder?+

No problem: the reminder still does its job. If you want, you can schedule a second notice (e.g., 2 hours before), but we don't recommend insisting more than that to avoid bothering. With a single well-made reminder, you'll already notice fewer no-shows.

What if the client doesn't have WhatsApp?+

If the client doesn't have WhatsApp, you can't use the template. In that case, send the reminder by SMS or phone call. In Wando, the AI detects if the number has WhatsApp and, if not, suggests another channel (if you've set it up).

Can I use this template for plans with more than one session?+

Yes, the template works for any type of plan. Just change variable {{2}} (session type) and the date/time of each appointment. If the plan includes several sessions, send the reminder only for the next session, not for all.

What do I do if the client responds after the appointment?+

If the client responds after the appointment, don't insist. Wait for the next session and, if you want, adjust the reminder (e.g., sending it 48 hours before). If the client didn't show up, you can offer to reschedule by message, but without pressure.

Does the template work for other industries?+

The structure does, but adjust the variables and tone. For example, in gastronomy you can change 'session' to 'reservation'. In Wando, you have specific templates by industry, so you don't need to adapt them by hand.
