WhatsApp Template for Stores: Let Customers Know the New Season Has Arrived
The new season has arrived, and surely you already have the new clothes in your store. The problem is that notifying all your customers on WhatsApp, one by one, takes hours. With a well-crafted message template, you can notify them in seconds and start selling from the very first minute.
Sample message (copy and adapt it): Hello {{1}}, the new season has arrived at {{2}}! 🍂 We already have the items you were waiting for, and as a special customer, you get {{3}} until {{4}}. Drop by {{5}} or write to us to reserve yours. We look forward to seeing you!
- {{1}}: customer's name (e.g., Maria)
- {{2}}: your store's name (e.g., Tienda Lola)
- {{3}}: benefit or promo (e.g., 10% discount)
- {{4}}: validity date (e.g., May 15)
- {{5}}: address or contact method (e.g., 123 Evergreen Ave)
- 1Copy the message and replace the variables with your store's info.
- 2In WhatsApp Business, go to Tools > Message templates (or the equivalent option) and create a new template with the Marketing category.
- 3Paste the message and save it. Meta must approve it (it can take up to 48 hours).
- 4Once approved, send it to your contacts who have agreed to receive promotions.
- 5If you use Wando, upload it to the panel and the AI will use it automatically when appropriate, without you having to stay on top of it.
More formal variant: Dear {{1}}, greetings from {{2}}. We would like to inform you that our new season is now available. As a preferred customer, we offer you {{3}} until {{4}}. You can come to {{5}} or reply to this message for more information. Best regards.
More casual variant: Hi {{1}}! 👋 It's {{2}} writing to you because the new clothes you'll love have arrived. We have {{3}} only until {{4}}, so don't sleep on it. Write to us or drop by {{5}} and we'll hold whatever you want for you. See you!
Note: Since this is a promotional message, the template must be approved by Meta (marketing category) and you can only send it to customers who have given their consent (opt-in). We don't invent prices or times: approval can take up to 48 hours. If you want to know Wando's current plans, check wando.online/pricing.
When is it best to send this message?
Timing matters as much as the text. Send it when the season is already in the store: if you announce before having stock, the customer arrives and finds nothing, and that is worse than not announcing.
Choose low-activity hours: Tuesday to Thursday from 10:00 to 12:00 or from 15:00 to 17:00. Avoid Monday early (people start the week with a thousand things) and Friday night (nobody reads promotions when they are already in weekend mode).
What you should NOT do: send it every month with the same excuse. If the customer receives the fourth 'the season has arrived!' in a year, they will block you or mark you as spam. Use it only when there are real updates: new collection, restock of a highly requested product, or a strong promo for a season change.
- Send it when stock is already available
- Better Tuesday to Thursday, from 10:00 to 12:00 or from 15:00 to 17:00
- Do not use it more than once per season
What to reply if the customer asks 'what's new?'
The template message is the gateway. The sale is closed in the conversation that follows. If the customer replies 'what's new?', do not send them a catalog of 20 photos: overwhelming them is losing them.
Reply with the 3 strongest items of the season, with photo and price. If you use Wando, the AI suggests the reply and you approve it with one click. The model message for this reply:
Hi {{1}}! The oversized hoodies, jean jackets, and midi dresses have arrived. I'll send you photos of the 3 that are selling the most. Would you like me to reserve one in your size?
- Show 3 products, not 20
- Photo + price + available size
- Offer to reserve: creates urgency
What to reply if the customer says 'I don't have time to stop by'
'I don't have time' is almost never a real refusal: it's a logistics objection. If you offer an easy way out, the conversation continues. Have the response ready before sending the template.
The model message:
No worries {{1}}! I can send it to you by courier if you're in {{2}}, or I can set it aside until the {{3}} and you can stop by whenever you can. Which do you prefer?
- Offer home delivery: if you're in the area, say so
- Offer to reserve: takes away the pressure of urgency
- Ask for the preferred option: gets them to commit to choosing
What to reply if the customer says 'what if it doesn't fit me?'
The fear about sizing is the most common objection in clothing. Don't fight it: solve it. The response has to lower the perceived risk:
Hi {{1}}! If it doesn't fit, you have {{2}} days to exchange it. And if you want, I'll hold two sizes for you and you can try them on in the store. Should I set it aside for you?
- Mention the exchange policy: if you have one, state it
- Offer to hold two sizes: shows confidence in your stock
- Close with a yes/no question: 'Should I set it aside for you?'
How to know if the message worked?
A promotional message works if it generates conversations, not if it generates 'seen' receipts. The metrics that matter:
Response rate: how many replied out of how many received it. If it's below 10%, the message or the timing is failing. Conversion rate: how many of those who replied bought or booked. That's where the money is. Opt-out rate: if many ask you to stop writing to them, the message is spam, not promo.
In Wando, campaign statistics show you delivered, read, and replied messages. Don't obsess over 'read' receipts: someone can read and not reply, and that's not failure. Failure is when no one replies.
- Response rate: aim for more than 10%
- Conversion rate: the one that pays the bills
- Opt-out: if it goes up, lower the frequency
Why Meta can reject your template and how to fix it
Meta rejects marketing templates for three common reasons: misleading language (promising something you won't deliver), lack of opt-out (every promotional message must offer a way to unsubscribe), and incorrect formatting (misplaced emojis or improperly declared variables).
If it's rejected, don't resend it anyway: read the exact reason in the WhatsApp Business panel. Correct the text and resubmit it. Approval can take up to 48 hours, so don't leave it to the last minute.
A typical mistake: using the word 'free' if it's not free. Another: promising discounts that don't exist. Meta reads the content and if it looks like clickbait, it rejects it.
- Reason 1: misleading or clickbait language
- Reason 2: lack of opt-out option
- Reason 3: incorrect variable formatting
Frequently asked questions
Can I use this template to send bulk messages from WhatsApp Business?+
Yes, but you have to load it as a template in WhatsApp Business and have Meta approve it (marketing category). Also, you can only send it to contacts who have opted in to receive promotions. Approval can take up to 48 hours.
What happens if my template is not approved?+
If Meta rejects it, check that it doesn't have misleading language or exaggerated promises. Adjust the text and resubmit it. With Wando, we help you load it and have the AI use it when appropriate.
Can Wando send this template automatically?+
Wando uses Meta's official WhatsApp API, so promotional templates are sent under the same rules. The AI suggests replies and you approve them with a click, or you use it to answer questions about the new season.
Can I send the template without Meta approving it?+
No. Without approval, you cannot send promotional messages through the official WhatsApp API. Sending it without approval can result in your number being blocked. Wait for approval (up to 48 hours) and only then send.
What if the customer replies 'not interested'?+
Reply with a polite message and don't insist. For example: 'Thanks for letting us know {{1}}! If you change your mind, write to us whenever you want.' Insisting after a refusal is the fastest way to get blocked.
Does the template work for categories other than stores?+
The structure works for any business that sells seasonal products: food (new menu), beauty (seasonal promo), real estate (new listings). Change the variables and the benefit, and the logic is the same.
