WhatsApp template for real estate agencies: share the status of an appraisal
If you appraise properties, you know that clients expect a quick response. With this WhatsApp template for real estate agencies, you can let them know the status of their appraisal without beating around the bush, and at the same time leave the door open for selling or renting.
Hi {{1}}, I'm writing to update you on the appraisal of {{2}}. We're already at the {{3}} stage and expect to have the final report in {{4}}. If you need anything before then, just let me know. Regards!
What goes in each variable
- {{1}}: the client's name.
- {{2}}: the address or project name (e.g., "the apartment on Av. Corrientes 1234").
- {{3}}: the current stage (e.g., "data collection", "market comparison", "documentation review").
- {{4}}: the estimated timeframe (e.g., "48 hours", "Thursday").
How to upload it to WhatsApp Business
- 1Copy the message and replace the variables with the case information.
- 2In WhatsApp Business, go to Message tools > Message templates and create a new one with this text.
- 3If you use Wando, you upload it in the templates panel and the AI will use it on its own when it detects a query about appraisals, always with your prior approval.
More formal version: "Dear {{1}}, we are writing to inform you of the status of the appraisal of {{2}}. We are currently at the {{3}} stage and expect to deliver the report in {{4}}. We remain at your disposal for any questions."
More casual version: "Hi {{1}}! Just to let you know, the appraisal of {{2}} is moving along: we're now at {{3}}. We expect to have everything ready by {{4}}. If anything comes up, just text me."
Note: this is a transactional message (status notification), so in the official WhatsApp API it falls into the utility category. That means it does not require marketing opt-in, but it does require a template approved by Meta. Approval can take up to 48 hours, so load it in advance. And if you want to automate follow-up, Wando learns from your real responses and suggests this type of message when appropriate.
When to send this message (and when not to)
This message is to notify the status of an appraisal. Send it when the client has already requested an appraisal and there is concrete progress to report: you have started the survey, you are comparing the market, or you are reviewing the documentation.
Do not send it if you have not started yet. If the client asks about a status and you have nothing new, it is better to respond with a short message like: "Hi {{1}}, we are still gathering the information for {{2}}, I will let you know as soon as I have updates". That one does not need an approved template because it is a direct response, not a scheduled message.
Also, do not use it to sell. If you want to offer a sales or rental service, that is another message, with another category in Meta (marketing) and with another permission from the client. Mixing things up makes Meta reject your template and makes the client feel like you are slipping in a commercial notice where they did not ask for it.
What to reply to the three most likely client responses
When you send the status notification, the client usually responds with one of these three things. Have a ready response for each one.
1. "And when will it be ready?" (question about the deadline): "Hi {{1}}, we would have the report for {{2}} ready by {{4}}. If anything comes up sooner, I will let you know."
2. "How much will it cost?" (asking about the price): "Hi {{1}}, you'll see the appraisal value of {{2}} in the report, which you'll receive in {{4}}. If you'd like a reference beforehand, I'll send you an approximate range."
3. "Thanks, that's clear" (simple closing): "You're welcome {{1}}! If you have any questions about {{2}}, let me know. When you get the report, we can review it together if you want."
These responses don't need an approved template because they are direct replies, not scheduled messages. Load them into Wando as quick replies and the AI will suggest them when the customer asks about that.
How to tell if the message worked
A status message works if the customer understands that the appraisal is progressing and feels accompanied. The concrete signs:
The customer doesn't write back to ask the same thing. If they ask "how's it going?" again, the message wasn't clear or didn't arrive at the right time.
The response rate is low and not due to anger. If no one responds, the message was probably clear and didn't raise doubts. If they respond with questions, adjust variables {{3}} and {{4}} to make them more specific.
In Wando, check the statistics tab: how many messages were sent, how many were read, and how many responses you received. If the response rate is lower than 30%, try changing the tone or the sending time.
Note: reading the message is not the same as replying. A read message without a reply can be a success (the customer understood) or a failure (they did not care). The only way to know is by checking whether they write back afterwards to move forward with the sale or rental.
Why Meta may reject this template and how to fix it
Meta rejects utility templates when they look like marketing, when they have promotional language, or when the variables are not properly marked. Concrete examples:
If you write "Take advantage of this unique opportunity!", Meta will flag it as marketing and reject it. Utility templates are for transactional information: status, confirmations, notices. No offers or urgency.
If the variables {{1}}, {{2}}, {{3}}, or {{4}} are not well defined in the WhatsApp Business panel, Meta does not know what will change in each send and rejects it. Define them with clear names: "customer_name", "property", "stage", "deadline".
If the message asks for an explicit commercial action ("reply to coordinate the sale"), it also rejects it. You can mention that the door is left open, but without asking for a direct action.
Fixing it is simple: check that the text is purely informative, that the variables are marked, and that there are no forbidden words like "free", "discount", or "offer". Reload the template and wait up to 48 hours. If it is rejected again, try a shorter, more neutral version.
When to use the formal version and when to use the casual one
The formal version is for clients you don't know, who are from another generation, or who maintain a more distant relationship. For example, if you appraise a property for a client who contacted you through an ad and there was no prior interaction, "Estimado/a {{1}}" builds trust.
The casual version is for regular clients or those who have already written to you with confidence. If the client uses the informal 'tú' form and emojis, the casual version feels more natural. Use it when there has already been prior exchange and the relationship is fluid.
A practical rule: if the client writes to you first with "Hola, ¿cómo estás?", use the casual version. If they write with "Estimado/a señor/a", use the formal one. If you're unsure, start with the formal and adjust in the next message.
Both versions are valid for the same template on Meta, but you have to choose one and upload it as a template. If you want both, upload two different templates. In Wando, you can have both and the AI will suggest the one that best fits the contact's history.
Frequently asked questions
Can I use this template to let them know the appraisal is ready?+
Yes, just change variable {{3}} to "final report completed" and {{4}} to "I'll send it to you today." It's a transactional message, so it falls under Meta's utility category.
How long does Meta take to approve the template?+
Approval can take up to 48 hours. Load it in advance from the Wando panel or from WhatsApp Business.
Can Wando's AI send this message on its own?+
Not by default. Wando suggests the reply and your team approves it with one click. That way you keep control and the AI learns from your replies to improve.
What do I do if Meta rejects the template for promotional language?+
Check that there are no words like "offer", "discount", or "free", and that the message is purely informative. Replace those words with neutral ones and reload it.
Can I use this template for clients who didn't request the appraisal?+
No. It's a transactional message that requires the client to have started the process. If you use it to contact someone who didn't ask for anything, Meta may flag it as spam and reject the template.
